We're seeking a proactive, creatively inclined, tech savvy individual to help assist a busy executive of a popular Internet art community. He is looking for someone who can assist with organizing and maintaining his executive and public relations responsibilities.

We are in need of an executive assistant who enjoys being an executive assistant and wants to remain in this capacity for the foreseeable future. Candidate must have a high level of office professionalism, but more importantly a strong work ethic, adaptability, and a sense of humor.

This person must be detail oriented, an expert at multitasking, goal-oriented and proactive in reporting on the progress and completion of all tasks. The ideal candidate will be good at keeping notes and creating task lists from calls and meetings, and then making sure that all tasks are prioritized and completed.

The position acts as communications hub for all executives and employees from the entire company, including some remote staff.
If you are creatively inclined in areas such as art, design, etc, hey, that’s even better.

A successful Executive Assistant often wears many hats, and like the many characters in “Game of Thrones,” each of them must work together to run a kingdom successfully.

Some of the requirements for the Executive Assistant Position include the following:

General Assistant Skills as Hand to the King (Tyrion Lannister)

  • Experience managing people, judiciously, fairly, and with grace.
  • Making sure the CEO is on time for appointments, meetings, etc.
  • Coordinate his life in and out of the office.
  • Booking travel arrangements.
  • Handling occasional overflow work assigned by other departments.
  • Ability to work with A-list clients.
  • High level of scheduling, prioritizing, task management, and follow up.

Supportive Skills (Varys)

  • Organization of work calendars, appointments, meetings, and calls.
  • Keep track of follow-up action points from meetings and conference calls.
  • Perform follow-up with other employees related to their projects and tasks.
  • Research and documentation of new products, business ideas, services, and events.
  • General document organization, filing, and scanning.
  • Sorting and shipping mail, letters, packages, etc.
  • Help with overseeing the duties of the household assistant.
  • Minimal personal errands.

Technical Skills (Petyr "Littlefinger" Baelish)

  • Assist in prioritizing emails, calls, DA notes, and other communications.
  • Assist with maintaining CEO’s online persona and blog.
  • Maintain a personal community-related art/technology blog.
  • Monitor online community issues, trends, and activity.
  • Must be highly computer and Internet savvy.
  • Excellent verbal and publication-level written communication.
  • A solid knowledge of computer usage, Word, Excel, PowerPoint, and Internet research is required.
  • Internet savvy, social media, knowledge of deviantART, and Google Calendar.
  • Basic knowledge of applications such as iTunes, Skype, and art software.
  • Project management, planning and organization skills, coordination skills, and flexibility.

  • Must be able to switch gears and adapt to unforeseen circumstances.
  • Must be detail oriented and resourceful.
  • Must be discreet and have a “can do” attitude.
  • Must work well under pressure.

  • Excellent sense of prioritization and determining urgency.
  • A sense of humor in the face of adventure never hurts.

General position summary of major responsibilities with percentages of time:

  • Administration: Scheduling, expenses, travel, replying to emails, etc. (30%)
  • Anticipate CEO’s needs by proactively replying to emails where applicable, and generally prioritizing incoming and outgoing communications. (30%)
  • Act as arm to the CEO’s office, liaising between different departments, and overseeing various office projects. (25%)
  • Research of companies, individuals, events, conferences, and industry practices. (10%)
  • Basic project management of various departments and personal . (5%)
  • Other duties as assigned.

This is a full time position with great hours. (Mon-Fri 9-6)
